Schengen Visa Cover Letter: How to Write One from the UAE
Include a one page cover letter with your Schengen visa application from the UAE, though the Dubai checklists for Germany and Italy do not list it as mandatory. Cover who you are, the purpose, exact dates, itinerary, hotels, who pays and your UAE job. Every date and name must match your flight reservation, hotel booking, NOC and insurance, and you hand it in at your VFS Global or BLS appointment.

A Schengen visa cover letter is a one page letter, signed by you, that tells the visa officer who you are, why you are travelling, where you will stay and how you will pay for it. The Dubai checklists for Germany and Italy do not list it as a mandatory document, but it is the only place in your file where you get to speak, and a well written one ties the rest of your documents together.

What you need alongside the cover letter
- Schengen visa application form, fully completed and signed by you (German Consulate Dubai)
- Passport valid for at least three months beyond your departure from Schengen, issued within the last 10 years, with two blank pages (Italian Consulate Dubai)
- Copy of your UAE residence visa, valid at least 90 days from your intended return date for Italy (Italian Consulate Dubai)
- Recent passport photo, white background, no older than six months (Italian Consulate Dubai)
- Travel medical insurance with EUR 30,000 minimum cover and repatriation (German Consulate Dubai); Travl issues AXA cover from AED 30
- Flight reservation, including the return (German Consulate Dubai); Dummy Ticket 365 issues one with a real PNR from USD 13
- Hotel booking, or a letter of invitation if you are staying privately (Italian Consulate Dubai)
- No Objection Certificate from your employer or sponsor stating your position, start date, salary and leave dates (Italian Consulate Dubai)
- Personal bank statements for the last three months, stamped by the bank (Italian Consulate Dubai)

Do you need a cover letter for a Schengen visa from the UAE?
You are not obliged to include one, but you should. The German Consulate Dubai tourism checklist and the Italian Consulate Dubai tourism checklist list the form, passport, insurance, bookings, employer letter and bank statements, and neither names a cover letter as a required item.
Other German missions do ask for one. The German Embassy in Jakarta requires an original cover letter "explaining detailed purpose of travel" and "describing travel itinerary" for the entire stay, which is a good picture of what any Schengen officer wants to read.
The European Commission puts the burden on you to supply supporting documents relating to the purpose of your stay. A cover letter is the cheapest supporting document you will ever produce, and it stops the officer having to guess how a Dubai bank statement, a Munich hotel booking and a Sharjah employer letter fit together.
What should a Schengen visa cover letter include?
Lead with who you are, then purpose, dates, itinerary, accommodation, funding, and your ties to the UAE. Every claim in the letter must point to a document elsewhere in the file, because the EEAS reminds applicants that officers check for genuine hotel reservations and flight reservations that match your actual travel plans.
Use this order and keep it to one page:
- Your details: full name as in your passport, passport number, nationality, UAE residence visa number and your Dubai, Abu Dhabi or Sharjah address.
- Purpose and main destination: one sentence stating the trip is tourism, a family visit or business, and naming the country you are applying through. Our guide to the main destination rule explains how to pick that country.
- Dates and entries: the exact arrival and departure dates on your flight reservation, and whether you want single or multiple entry.
- Itinerary: a short day by day or city by city plan, including any trains or internal flights, matching the itinerary detail German missions ask for.
- Accommodation: hotel names and booking references, or the name and address of the host who wrote your invitation letter.
- Funding: who pays, and a reference to the bank statements and pay slips enclosed. The EEAS asks for bank statements showing sufficient funds for your trip, no older than three months.
- Ties to the UAE: your job title, employer, approved leave dates and the date you return to work, matching your NOC.
- Family travelling with you: names, passport numbers and relationship, since the Italian Consulate requires that family members travelling together must apply together.
- Closing: a line confirming you will leave the Schengen area before your visa expires, then your signature and date.
How do you write a Schengen visa cover letter step by step?
Write it last, after every booking and letter is in hand, so the details line up. Address it to the consulate or embassy of your main destination, not to VFS Global or BLS International, since the visa centre only collects the file and the decision is the sole prerogative of the Embassy or Consulate.
Step 1: Header and salutation
Put your name, address, phone number and email at the top, then the date and "To: The Visa Section, Consulate General of Italy, Dubai" or the equivalent. Add a subject line such as "Schengen tourist visa application, 12 to 21 May 2026".
Step 2: Opening paragraph
State your name, nationality, passport number and that you are a UAE resident applying for a short stay Schengen visa. Give the purpose and the exact dates in the same sentence.
Step 3: Itinerary paragraph
Walk through the trip city by city with the hotel booked in each. If you are visiting two or three countries, say which one holds the longest stay, because that is the country you must apply through as your main destination.
Step 4: Funding and employment paragraph
Name your employer, your position, your monthly salary and your approved leave dates. Say the trip is self funded and that three months of bank statements are attached, or name the sponsor and state that their NOC and bank statements are enclosed, as the Greek checklist requires for anyone sponsored by a spouse or parent.
Step 5: Closing paragraph
Confirm you will return to the UAE on the date shown on your flight reservation and that your employer expects you back. List the enclosed documents in the order they appear in the file, sign, and date.
How should the cover letter change for tourism, family visits and business?
The skeleton stays the same, the middle paragraph changes. For tourism, the itinerary and hotel bookings do the talking, and the German Consulate wants a valid (existing) hotel / accommodation booking / reservation behind every night you mention.
For a family or friends visit, name your host, give their address and residence status, and reference their invitation letter. Germany accepts either a formal obligation letter by the host or a personalised invitation showing who covers accommodation and costs, and Italy requires proof that the host holds a lease or owns the property (Italian Consulate Dubai).
For business, the letter should name the inviting company, the meetings or event, and who pays. Attach the invitation on the company's letterhead and let your own employer's letter confirm the trip is on their behalf.
Which documents must the cover letter match?
Every date, name and number in the letter must match the form, the flight reservation, the hotel booking, the NOC and the insurance policy. The EEAS is blunt that submitting documents which are fake or not authentic will lead to a refusal, and an honest mismatch reads the same way to a busy officer.
Check these five points before you print:
- Arrival and departure dates match the flight reservation and the insurance cover dates.
- Hotel names and cities match the bookings and the itinerary in the letter.
- Employer name, job title and leave dates match the NOC and pay slips.
- The insurance certificate names you and shows EUR 30,000 cover for all Schengen states, as explained in our Schengen insurance requirements guide.
- The main destination in the letter matches the consulate you are filing with.

When and where do you submit the letter?
You hand it in with the rest of your file at your visa centre appointment. Germany accepts applications by appointment only at the VFS Global Germany Visa Application Centres in Abu Dhabi or Dubai, and Spain files through the BLS Spain Visa Application Centre, which we walk through in our Spain visa BLS process guide.
Book your slot so that the file lands at least 15 days before your intended journey and no earlier than six months out. Your fingerprints will be collected when you submit, and the standard decision window is 15 days, extendable to 45 days.
Do not email the letter separately. The Italian Consulate in Dubai warns that documents sent by email to the Visa Office will not be evaluated, so a late addition goes back to the VFS centre in person.
Why do Schengen applications with a cover letter still get refused?
A refusal is notified on a standard form that must include the reasons on which the refusal was based, and the same handful of causes come up again and again. All of them are avoidable before you file.
- Incomplete file. Italy states that an application without a complete set of documents may result in the refusal, and the Greek Embassy checklist says the same.
- Bookings that do not match the letter. Officers look for reservations that match your actual travel plans; a letter that says Paris while the hotel says Nice invites doubt.
- Weak proof of funds. Italy requires online statements to bear the original bank stamp, and Greece will not accept internet extracts without stamp.
- Unclear ties to the UAE. A missing or vague NOC leaves the officer unsure you will return, so your letter must state your leave dates and return to work.
- Wrong consulate. The EEAS is clear that you must apply through the Embassy or Consulate of the country where you will spend the most time, so filing elsewhere wastes the fee.
- Expiring residence permit. Italy wants your UAE visa valid at least 90 days from the intended return date.
A refusal is not the end. You may appeal against this decision or reapply, but the fee is not refunded, so the cheaper route is a file that is right first time.
What does a Schengen visa cost from the UAE?
Three separate charges apply: the embassy fee, the visa centre service fee, and any assistance fee you choose to pay. Embassy and visa centre fees are passed through at cost by VisaWadi and are never marked up.

The visa fee is not refunded if the visa is refused. The EEAS also warns that paying extra to an intermediary does not increase your chances of getting a Schengen visa, which is why VisaWadi charges for preparation and checking, not for influence.
