Invitation Letter for a Canada Visitor Visa: What to Include

Updated 18 Oct 20269 min read11 sectionsAmmar Afridi
The Short Answer

A Canada visitor visa invitation letter must give the host's full name, date of birth, Canadian address and phone, job title and status in Canada, plus a photocopy proving that status, and your name, date of birth, contact details, relationship, purpose, dates, accommodation and who pays. IRCC does not require notarisation and says the letter never guarantees a visa. The visa fee is CAD 100 plus CAD 85 for biometrics.

Invitation Letter for a Canada Visitor Visa: What to Include

An invitation letter for a Canada visitor visa must give your host's full details and status in Canada, your full details, the purpose and dates of the trip, where you will stay and who is paying. IRCC publishes the exact list of what to include, and a letter that follows it word for word is the one that helps. Notarisation is not on that list, and the letter never guarantees a visa on its own.

Do you need an invitation letter for a Canada visitor visa?

Yes, if someone in Canada is hosting you. IRCC's online application guide tells applicants visiting family or friends that they must include a letter from a person or business inviting you to Canada, alongside proof of the relationship.

The letter has one job. IRCC says letters of invitation help confirm that your purpose for visiting Canada is valid, so the officer reads it as evidence of why you are going and who stands behind the trip.

It is not a sponsorship. The same page that lists the contents states that writing the letter does not make the host legally responsible for you once you enter Canada, which is why the letter must be paired with your own financial and employment evidence.

What must the letter say about you, the visitor?

Eight items, and IRCC names each one. The host must give your complete name, date of birth, address and telephone number, their relationship to you, the purpose of the trip, how long you plan to stay, where you will stay and how you will pay for things, and when you plan to leave Canada.

Write your details exactly as they appear in your passport. A name spelt differently from the passport, or a date of birth off by a digit, is the kind of inconsistency that makes an officer doubt the whole file.

Use real dates, not "around December". The arrival and departure dates in the letter should match your flight reservation and the dates you enter in the online form, and the stay must sit inside the 6 months most visitors are allowed.

What must the letter say about the host in Canada?

Seven items again, all from the same IRCC list. The host gives their complete name, date of birth, address and telephone number in Canada, job title, whether they are a Canadian citizen or a permanent resident, and details of their family such as the names and dates of birth of their spouse and dependants.

The seventh item is a document, not a sentence. IRCC asks for a photocopy of a document proving the host's status in Canada, so ask your host to attach a copy of their Canadian passport, citizenship certificate or PR card to the letter.

If the host is a company rather than a relative, the list changes. IRCC's business invitation page asks for the company's full name, headquarters address, the address of every facility you will visit, its website and its date of incorporation, plus your name, position and the company you represent.

Does the invitation letter need to be notarised?

No. IRCC's invitation letter page lists what the letter must contain and makes no mention of notarisation, so a signed, dated letter with the host's status document attached meets the requirement.

Some hosts notarise anyway, and it does no harm. What matters more is that the letter is signed, carries a date close to your application date, and includes a phone number and email the officer could use to check it.

Keep the tone plain. A one-page letter in ordinary language that answers IRCC's list reads better than three pages of promises, and the officer is checking facts, not prose.

What should the host attach to the letter?

Attach the status document first, because IRCC asks for it by name. After that, anything that backs the claims in the letter helps: if the host says you will stay at their home, a copy of a lease or property tax bill for that address supports the sentence.

If the host is paying for the trip, the letter should say so and the host should attach evidence of the means to do it. That is optional from IRCC's side, but a promise to cover costs with nothing behind it invites the officer to discount it.

Relationship proof sits in your file, not the host's letter. IRCC lists marriage and birth certificates, joint financial documents, communication records such as call logs and emails, and photos as acceptable evidence, so pick two or three that fit your case.

How does the letter fit into the rest of the application?

The letter is one upload among many. You must apply online, and the invitation letter, relationship proof, bank statements and passport copy all go into the same IRCC account as separate files.

Your own evidence carries the weight. To be eligible you must convince an immigration officer that you have ties such as a job, home, financial assets or family that will take you back to your home country, that you will leave at the end of the visit, and that you have enough money for your stay.

For a UAE resident that means an employment letter, salary certificate and bank statements from a UAE bank, plus your residence visa. IRCC also asks for at least 6 months of account details, including balances, so do not send a single-page balance letter.

If this is your first Canada application you will give fingerprints and a photo after submitting, and IRCC advises you to book the biometrics appointment as soon as you can to avoid processing delays. Our guide to Canada visa biometrics in the UAE covers where to go in Dubai and Abu Dhabi.

If you want a second pair of eyes on the letter before your host signs it, VisaWadi's Canada visa service reviews the draft against IRCC's list, checks the rest of your file and tracks the application to a decision.

Why do applications with an invitation letter still get refused?

Because the letter is not what decides the case. IRCC states plainly that visa officers assess you, not your host, to decide whether you meet the terms of Canada's immigration law, and the Help Centre repeats that a letter can help but does not guarantee a visa.

The avoidable causes we see in files from the UAE are consistent:

  • Missing host status proof. A letter with no copy of the host's passport or PR card fails the one document IRCC asks for by name.
  • Dates that do not match. The letter says four weeks, the form says eight, the flight reservation says something else.
  • "My cousin will pay for everything" with no evidence. The host is not legally responsible for you, so the officer looks to your own bank statements, and thin statements sink the file.
  • Weak ties to the UAE. A short employment history, a residence visa about to expire or no family in the UAE all cut against the requirement to show ties that will take you back.
  • Unproven relationship. The letter names a sister but the file has no birth certificate, photos or messages to show it.

If you have already been refused, read our breakdown of common Canada visitor visa refusal reasons for UAE applicants before reapplying. The refusal notice in your IRCC account explains why the application was refused, and the next file must answer that reason directly.

Frequently Asked Questions

Any Canadian citizen or permanent resident who is hosting you, or a Canadian business inviting you for work purposes. IRCC asks the writer to state their status and attach a photocopy of a document proving it, such as a passport or PR card, so the host must be able to show legal status in Canada.
No. IRCC's invitation letter page lists the required contents and does not mention notarisation. A letter that is signed, dated, includes the host's contact details and comes with a copy of the host's status document meets the requirement. Notarising it is optional and does not add weight.
No. IRCC states that writing a letter of invitation does not make the host legally responsible for the visitor once they enter Canada. That is why your own bank statements, covering at least six months of activity, and your UAE employment evidence still decide whether the officer believes you can fund the trip.
Most visitors can stay for up to six months per visit, according to IRCC. The dates in your invitation letter should sit well inside that window and match your flight reservation and online form. The border officer sets the final date on arrival and may allow less than six months.
No. IRCC says a letter of invitation can help but does not guarantee a visa, and that officers assess the applicant, not the host. Your ties to the UAE, your finances and a consistent file matter more than the letter. VisaWadi's Canada visa service reviews all of it before you submit.
